Modern Slavery Policy

This policy ensures that Paton Developments complies with section 54 of the Modern Slavery Act 2015, and sets out the responsibilities for employers and employees. Paton Developments is committed to ensuring that all of its business operations are free from involvement with slavery or human trafficking.

Annual statement

Paton Developments will publish an annual slavery and human trafficking statement. The statement will explain the steps that Paton Developments has taken to ensure that slavery and trafficking are not taking place in any of its supply chains, or in any part of its own business.

Content of the statement

The following items will be included in the statement.

  1. The structure of our organisation, the business operations of the organisation and the supply chains.
  2. Our policies in relation to slavery and human trafficking.
  3. The due diligence processes that we carry out to ensure that there is no slavery or human trafficking in our business and supply chains.
  4. Identification of any parts of our business and supply chains where there is a risk of slavery or human trafficking take place, and the steps that we have taken to assess and manage the risk.
  5. An assessment of the effectiveness of the measures that we have taken to stop slavery and human trafficking taking place, and the way that we assess and manage the risks that are identified.
  6. A statement that training about slavery and human trafficking is available to all employees.

Additional action points

In addition to producing the annual statement, Paton Developments is committed to:

  1. Ensuring that slavery and human trafficking is considered and addressed in our approach to corporate social responsibility.
  2. Ensuring that any concerns about slavery or human trafficking can be raised through our whistleblowing procedure.
  3. Carrying out regular audits to ensure that all our employees are paid at least the National Minimum Wage and have the right to work in the UK.
  4. Ensuring that all commercial agreements include an obligation on our suppliers to operate in accordance with the Modern Slavery Act 2015, and to ensure that any of their suppliers and sub-contractors also operate in accordance with the Act.
  5. PSM HR Outsourcing LTS has been appointed to oversee the compliance with the Modern Slavery Act 2015.
  6. Identifying and addressing any areas of high risk in our supply chain.
  7. Providing training for all employees who are involved in the supply chain on issues relating to slavery and human trafficking.

To ensure prompt payment and reduce the risk of invoice rejections:

  • The invoice must be in English, addressed to Paton Developments Limited

  • Invoices sent or emailed to any other Paton Developments address or individual contacts other than the above may incur significant delays in payment.
  • Purchase Order numbers must be quoted clearly on the front page of the invoice.
  • Invoices must mirror the Purchase Order (i.e. state the goods and services in a similar format – quantity, price per unit, total price per line).
  • Paton Developments does not pay any amounts on pro- forma invoices and so a full VAT invoice will need to be issued.

Agency Staff

Paton Developments operate a biometric time recording system on a number of our sites and at our workshop and warehouse premises. All agency staff are required to comply with the usage policy. Only hours recorded on our biometric system where in use will be paid. Manual time sheets will be signed as a record of attendance by site personnel, but hours are not deemed as agreed. Paton Developments retain the right to refuse payment where hours invoiced are not in agreement with the records on our system.

Payment terms

Our payment terms are 30 days from date of invoice unless otherwise agreed with the Finance Director.

We operate a NO PURCHASE ORDER, NO PAYMENT policy

Our team are required to issue you with a formal purchase order with a 5-digit number for any goods or services before you supply anything. If you don’t get a purchase order your invoice will be returned to you unpaid. Make sure that you get a copy of the purchase order from your contact. If it’s necessary to return an invoice to you, you will receive an email explaining why. Co-operating with this policy is one of the best ways to ensure that you receive payment promptly. If this process has not been followed, then Paton Developments retain the right to refuse payment.

Complaints or Disputes

In the first instance, any disputes with regards to payments or orders should be raised with the individual who ordered the goods or services. If this does not lead to a satisfactory resolution, then please follow the process below including the initial correspondence.

Personal Identification Policy

Environmental Policy

Paton developments How to reduce CO2 on construction sites.

Paton Developments and the group companies are actioning a strategy to work toward reducing our companies carbon footprint and the buildings we work in or construct. Not only for co2 and embedded carbon but for the lifecycle carbon cost. We are looking toward industry best practice and advice from Industry bodies. The following strategy is our internal awareness document targeted at a long-term vision for awareness, planning, design and action.

Internally we are focusing on our procedures, transportation and importantly the M&E solutions we provide and the products we manufacture. Externally we are looking at our supply chain and look to work more closely with suppliers that can support us in this shared vision.

We are focused on the code of conduct and advice offered from the Green Construction Board and the Carbon Trust. Further we have initiated STACS an external consultancy to build a realistic strategy, which can be monitored and measured in line with our corporate and social responsibility.

Construction companies are under increasing pressure to deliver an ‘Environmental impact strategy’ in line with both their own industry’s targets and the government’s wider green ambitions, in order to win contracts. Consequently, working to manage and reduce carbon footprints as part of a low carbon strategy, with its inherent cost benefits and revenue opportunities, is increasingly important in the construction sector.

Our Strategy falls into 3 stages

  • Onsite
  • Development

1 – Planning

Use of Materials

When we are designing, or renovating buildings, it is always important to plan which type of materials will be utilised, but there is now an increased focus on implementing materials which are not solely cost effective, but sustainable and energy efficient to provide long-term benefits and lower carbon levels. This can impact on the overall design of our renovations, manufacturing and builds and the logistics surrounding construction work.

Recycling

It is also imperative that we plan the recycling of materials such as aluminium within builds, which will effectively reduce the level of waste products which are currently sent to landfill, providing increased advantages within building.

Heating and Insulation

In order to reduce CO2 emissions further, we should ensure builds incorporate appropriate insulation and glazing to reduce heat loss, but also ensure the heating systems are designed with long term lifecycle carbon cost considerations. Solar panelling systems, heat exchange, bore pumps etc. must be individually measured with a balanced view on initial costs, lifecycle cost and the reduction of CO2.

Water

We should design pluming solutions that encourage the reduced consumption of water, for example giving; consideration to innovative technologies in showers, harvesting rainwater, which can be used for irrigation.

Transport

By planning transport and deliveries in line with our construction phases we can look toward reducing vehicle movements. Further by obtaining consumable and building materials locally to the site through a national frame work will ensure that the embedded carbon cost of materials used on site is reduced.

2 – Onsite

Plan the energy requirements of a project

Produce an onsite ‘energy plan’ early on in a project to identify the key loads (from accommodation, plant and equipment) over the project programme. This will help to secure the best rate tariffs and minimise the size of supply you need, making it easier and cheaper to get a grid connection and identify opportunities for saving energy.

Secure early, high capacity, electricity grid connection

Early communication with electricity suppliers plus well managed connection processes will help to minimise delays in establishing a grid supply. This has the benefit of reducing the use of generators which have higher energy costs and CO2 emissions than the grid.

Deploy the right size generators

Using over-sized generators wastes fuel and money and reduces equipment lifetimes. Separate generators for high daytime demand and low night-time operation are often cost-effective despite additional hire charges.

Manage energy in a site office efficiently

Keep windows and doors shut when heating or cooling systems are switched on. Utilise thermostats and timer controls properly, set computers and other equipment to power down/ hibernate when left idle and avoid unnecessary lighting.

Play your part in energy saving

Play your part in implementing the site energy plan and let your site manager know if you see any energy saving opportunities.

Procure low CO2 site accommodation

Site accommodation with an Energy Performance Certificate rating of A, B or C, when used efficiently, will save on heating and lighting costs. High levels of insulation should be prioritised over more costly measures to reduce CO2 and cost.

Specify energy efficient plant

Procure the most energy efficient plant options fit for purpose and avoid use of plant with unnecessary excess capacity. Avoid leaving plant and vehicle engines idling.

Avoid forced drying of wet trades

Arrange project programmes or adjust construction methods to avoid the need to dry wet trades via space heating. If such heating is unavoidable, minimise operation times and use direct fuel heaters (such as oil or gas) rather than electric heaters.

Monitor and manage energy use

Regularly monitor energy and fuel use or CO2 emissions. Knowing your baseline energy consumption may help to reduce emissions and costs. Nominate an individual with responsibility for leading on site energy management activities.

3 – Development

Here are some actions we plan to initiate in-line with recommendations from the Carbon Trust:

  1. Review the selection of raw materials.

The extraction, production and transportation of basic construction materials are both energy and carbon-intensive, develop a process of procurement to be able to select suppliers of building products and materials who are actively working to manage their own carbon impacts and measure the improvements we make.

  1. Investigate the origin of the raw materials.

Ensure we understand the impact of the embedded carbon cost of raw materials of the products we produce for our manufacturing of Durodoors and case goods and Duroplex wet wall systems. Natural stone, for example, produces minimal emissions during the production process but the transportation from the source to manufacturing site can be the largest cause of emissions, e.g. in transporting from quarries in India. In such cases, managing the transportation process is crucial to managing supply chain emissions. This contrasts with concrete where typically the carbon emissions during production are much higher than those released during transportation.

  1. Consider construction phase emissions.

Focusing on the strategic planning of phased developments maximising the efficiency from our distribution facility in Farnborough. Key factors contributing to construction process emissions include the multiple, temporary sites, transportation, waste arising, and heavy machinery which is common in large building projects.

  1. Consider how to influence the occupancy and use of buildings and infrastructure.

These ‘downstream’ emissions are generated in the use phase but are greatly influenced by specifications from architects, choices made by developers and clients, and from the way the buildings are used by the people who ultimately work and live in them. The purpose and design of a building also contributes to its embodied carbon. The people using it, the use of lighting, heating, ventilation and air conditioning, and the proportions and differing insulating properties of glass, metal, concrete, brick and wood can all have a tangible impact on the carbon footprint.

Management summary for future development

  • Manage carbon throughout their construction supply chains;
  • Accurately measure the footprint of individual products in order to identify carbon ‘hot spots’ (carbon intensive areas) and focus efforts on carbon reduction;
  • Suggest the use of suppliers that offer low carbon products and those that can demonstrate a consideration for both the direct and indirect impacts of their products and services;
  • Create a carbon strategy and implementation plan;
  • Understand the carbon footprint generated in the use phase and encourage companies to plan for sustainability throughout the life of the building.
